Is Your Small Business Ready for AI? A 10-Point Readiness Check

A plain-English framework to assess your data, processes, people, and tools before you invest in AI, plus what to do in your first 30 days.

Every week a new AI tool promises to transform your business. Most small businesses try a few, get mixed results, and quietly go back to the old way of working. The problem usually isn't the technology. It's readiness.

AI readiness is simply whether your business has the conditions for AI to succeed: usable information, well-understood processes, people who are willing to try new things, and tools that can connect. Assess those first and you'll pick better projects, spend less, and see results faster.

Why readiness beats hype

AI multiplies whatever it touches. Point it at a clear process with good information and it saves hours. Point it at a chaotic process with scattered documents and it produces confident-sounding confusion, faster.

A short readiness check does three things:

  • It shows you where AI will pay off first, so your first project is a win.
  • It surfaces gaps you can fix cheaply (like organizing documents) before you spend on software.
  • It gives your team a shared picture of why and how you're adopting AI.

The four readiness dimensions

  1. Data and knowledge. Is the information AI needs written down, findable, and reasonably current?
  2. Process. Do you know, step by step, how the work gets done today?
  3. People. Is there an owner, and is the team open to changing how they work?
  4. Tools. Can your existing systems (email, documents, CRM, accounting) connect to new tools?

The 10-point checklist

Score each statement: 0 = not true, 1 = partly true, 2 = true.

  1. Our key procedures (how we quote, onboard, support, and report) are documented somewhere.
  2. Those documents live in one or two places, not scattered across inboxes and laptops.
  3. We can name three repetitive tasks that take more than two hours a week each.
  4. For those tasks, we know what "good output" looks like.
  5. One person is accountable for trying AI and reporting results.
  6. Our team has had at least an informal conversation about using AI at work.
  7. We have basic rules about what customer or financial data can go into external tools.
  8. Our core software has integrations or exports (email, calendar, CRM, cloud storage).
  9. We track at least one number for the work we want to improve (time, volume, errors, response time).
  10. We can set aside two to four hours a week for a month to run a pilot.

What your score means

  • 0–7: Foundation first. Spend the next month documenting your top three processes and consolidating files. This work pays off with or without AI.
  • 8–14: Ready to pilot. Pick the single most painful repetitive task and run a four-week pilot with clear before-and-after measures.
  • 15–20: Ready to scale. You can run several workflows in parallel. Focus on governance, training, and measuring impact across the business.

Your first 30 days after the assessment

Week 1: Choose one process. Pick the task with the best mix of high time cost, low risk, and clear output. Customer email drafting, meeting summaries, and weekly reporting are common winners.

Week 2: Set a baseline. Measure how long it takes today and how often errors happen. Without a baseline you can't prove value.

Week 3: Pilot with a human checkpoint. Let AI draft; let a person review and approve. Collect examples of good and bad output.

Week 4: Decide. Compare results to your baseline. Keep it, improve it, or drop it, and pick the next process.

The bottom line

AI adoption doesn't start with choosing a tool. It starts with understanding your business well enough to know where a tool would help. A one-hour readiness check is the cheapest, highest-leverage step you can take.
